Overview

 

This position has overall responsibility for the results of the Centre.  The Centre Manager has profit and loss responsibility and is charged with the execution of the business and marketing plan as agreed to with the Directors.  The Centre Manager is responsible for preparing and presenting summary information to the Directors regarding the current and future performance of the business, as well as justifying and controlling expenditure necessary to carry on the business operations.

 

The Centre Manager is responsible for the development and execution of all proactive external marketing and sales efforts and with the development of internal marketing to develop sales opportunities for business services.

 

The Centre Manager also has overall responsibility for the administrative and operational aspects of the Centre.

 

Responsibilities

 

Marketing and Sales

The Centre Manager will have primary responsibility for the execution of the Centre sales and marketing plan and includes, but is not limited to:

·      Development, maintenance and tracking of selling activity (such as the Core Package)

·      Representing the company at all networking functions

·      Assistance with development of sales literature and marketing materials

·      Development and implementation of direct mail, telemarketing and other market awareness programmes designed to reach target markets

·      Evaluating the effectiveness of all sales and marketing activities

·      Developing internal marketing relationships with existing customers to increase business services revenue

·      Coordination and booking of local advertising and marketing opportunities

·      Monitoring and recording local competition

·      Point of liaison for PR

 

 

Office Rental

The Centre Manager is directly accountable for the economic occupancy of the Centre.  Therefore, he/she is responsible for every facet of the leasing process which includes, but is not limited to:

·      Conducting tours for prospective tenants

·      Negotiating all new leases and renewals (in line with current price list)

·      Production and accuracy of all Licence/Tenancy documentation (and ensuring all tenants have current documentation in place)

·      Coordinating client events

 

Administration and Operations

The Centre Manager also has overall responsibility for the administrative and operational aspects of the Centre, namely:

·      Telecommunications management and administration

·      Computer systems, software and back-up procedures

·      Office equipment purchase and maintenance (copiers/franking machines/audio visual etc)

·      Ensuring Site Manual complete and updated at all times

·      Security

·      Health & Safety

·      Ensuring all contractors visits are made in accordance with their contracts

 

Staff Management

All Centre staff report to the Centre Manager who will ensure that all staff are performing their duties satisfactorily in accordance with their job descriptions.  Responsibility will cover:

·      Ensuring Centre is adequately manned at all times and arranging temporary cover where appropriate

·      Reviews and appraisals

·      Input to Directors on salary and bonus payments

·      Recruitment and training

·      Sickness, absence and holiday records

·      Production of job descriptions

 

Financial

Overseeing the Financial Administrator to ensure:

·      Debtors schedule always in line with agreed payments schedule

·      All financial reports are submitted to the Directors accurately and on time

·      Credit notes and purchase orders are authorised prior to expenditure

·      Sales invoicing is produced accurately and on time

·      Purchase invoices are checked and approved prior to cheque presentation

·      Production of annual income/expenditure budgets

 

 

Customer Services

The Centre Manager has total responsibility for assuring customer satisfaction and the provision of customer services.  This includes but is not limited to:

·      Managing and resolving client complaints and requests

·      Ensuring all services are available at all times (ie copiers functioning, secretarial staff available)

·      Providing Welcome Packs on tenant move-ins

·      Ensuring tenants know at all times what services are available for their use

·      Conducting exit surveys
